Formal preparation of the examination course
Information duties
Before digital examinations, students must be informed about data protection law, technical and organisational conditions of the planned digital examination. In particular, the data protection regulations can be standardised (see appendix). The following table provides an overview of the required issues:

Offer test course
Students should be given the opportunity to get to know the exam conditions in good time, i.e. at least two weeks before the exam date. This refers equally to the technical and room conditions. In the case of remote supervised examinations, testing must be able to take place before the deadline for exercising the right to choose, so that students can make an informed decision.

The test-exam course could contain an exam from a previous semester. However, the most important function of the test exam course is that students learn how the exam will work:
For example, students learn that they can find the exam on the Moodle dashboard of the current semester, that the exam will only be unlocked when they have answered "yes" to the explanations, e.g. on the topics of health and autonomy, that they can jump back and forth between the individual tasks in the test module, that they have to confirm the submission to the test module twice, and much more.
Control access to the examination course
Once an examination course has been created, students can be enrolled manually. However, in the case of large cohorts, students should rather enrol themselves via enrolment key (instructions can be found in the information course for examiners). Unfortunately, it is currently not possible to automatically export the registration data for the examination from AGNES or POS to the examination Moodle. In principle, HU students must register for the examination or enrol in the course with their HU account.
If students take part in examinations who do not have an HU account, their access to the examination Moodle will be created manually by the Support for Electronic Examinations at the request of the examiners. Please write an e-mail to e-pruefungen-support@hu-berlin.de in which you list the names and e-mail addresses of the students in this format: first name, last name, e-mail. When creating the accounts, they can also be enrolled in an examination course at the same time - then name this course clearly for the support, e.g. with a link to the examination course.
Participant administration
At the latest shortly before the examination date, the examiners must check the registered examinees against the admitted ones and, if necessary, exclude non-admitted examinees from the examination, e.g. by deregistering them from the course.
Settings of the videoconferencing software
The video conferencing software shall be configured as follows:
- A waiting room and at least one breakout room for authentification and requests are set up. For authentification, a virtual background, if used, must be switched off.
- There is at least one co-host in addition to the host to ensure the consistency of the videoconference during the exam. In addition, it is recommended that the number of hosts ( supervisors) is aligned with the number of students in order to be able to fulfil the supervisory obligation at all.
- All participating persons must keep the camera and microphone set at all times. The sound (loudspeaker) can be muted at your own risk. The use of a virtual background is possible.
- The chat function must be set in such a way that students can only contact the examiners (as so-called hosts of the video conference), but examiners can also write messages to everyone.
During the videoconference, the participants must ensure that no data is recorded by third parties, e.g. if there are other persons in the background at a publicly accessible place of work (section 96b, subsection 3). This precaution is also in the interest of the students to prevent suspicion of cheating.
Communications to everyone, e.g. answers to follow-up questions, should be communicated verbally and in writing by the examiners.
Participation in the video conference can take place from the examination system, via a client or via a link in the browser. All options must be made available.
Important setting in the Moodle plug-in Zoom: In principle, when setting up the HU Zoom Meeting activity in the examination course under the "Meeting Options" item, the default settings should be retained. It is particularly important here that no (!) tick is set for "Authenticated users only". This enables data-saving access to HU-Zoom (data protection!).
Access to the examination on the examination date
In order for your students to be able to find the examination course, you should set it to visible at an early stage, but do not forget to set the examination tasks to hidden. In addition, the activation of the examination tasks should always be linked to prerequisites, e.g. belonging to a group, date and time, as well as answering "Yes" to the declarations on health, etc.
Summary
Step 1: Provide comprehensive information, in particular about any existing right to vote

Step 4: Tie the activation of the exam minimally to the prerequisite "Explanation test module = all answered with yes"
Step 5: Enrol students manually or let them enrol themselves
Step 6: Carry out a test run (change of role: student), if necessary also on different devices or with different browsers
Step 7: Compare the list of participants with the list from the examination office. In the case of self-enrolment, change the key of the course so that no one else can enrol
