6. Conduct
-
How much time should one allow immediately before a digital distance exam?
This depends on how many people are taking the exam. Since the identity must be established individually (see authentification for a distance examination), this can lead to a considerable amount of time for large cohorts, even if authentification can also take place during the distance examination. A trial run is particularly important here in order to be able to gather reliable empirical values.
-
How is an exam unlocked?
- The actual examination activities in the course can be linked via " Requirements" to the fact that the health and independence declaration, which again should only be made accessible shortly before the start of the examination, has been completed "successfully" (answered with "Yes").
- The entire course can be set as hidden for participants.
After completion of the examination, the course should in any case be set to "hidden" again.
-
Supervision
-
May video observation be dispensed with?
- In the case of a remote supervised examination: no.
- In the case of a remote examination without supervision, video observation is prohibited.
-
May examinees be required to leave their microphone on during the examination?
- In the case of a remote supervised examination: Students must leave the microphone on throughout.
- In the case of a non-supervised distance examination: There is no microphone because the compulsory use of video conferencing software is prohibited.
-
May supervision be carried out by proctoring software?
No.
-
May video monitoring be carried out during a take-home examination?
No.
However, a voluntary offer of supervision of the examination by videoconference is possible if there is at least one alternative without videoconference (telephone, chat).
-
Should examiners or supervisors be reachable during the examination?
It is recommended to provide a video conferencing solution as well as a telephone number for support.
Attention: For remote examinations without supervision, video conferencing may only be offered as an alternative. In addition, switching off the camera must be permissible. Otherwise, the examination would fall under the regulations of a remote supervised examination with the right to choose.
-
What communication channels should be made available for questions during the distance examination?
- Remote supervised examination: HU-Zoom meeting room with waiting room option or so-called breakout rooms; absolutely also telephone to ensure accessibility in case of internet failure.
- Remote examination without supervision: telephone, also a video conference with breakout room (without camera transmission) if requested by the students.
-
May video observation be dispensed with?
-
Authentification
-
Can the identity be checked via Zoom?
- In the case of a distant supervised examination: yes, since videoconferencing is mandatory here and Zoom is permissible.
- In the case of a remote examination without (!) supervision: no, as the mandatory use of video conferencing software is prohibited here. Authentification is done via the account used and a declaration of autonomy.
-
How can identity be established in a legally secure manner in a digital examination?
- Remote supervised examination: Either the examinee is personally known or an official photo ID is held up to the camera.
- Distance examination: Account and declaration of autonomy.
- Digital in-person examination: Either the examinee is personally known or an official photo ID is presented.
-
May the identity check also be carried out during the examination?
Yes. This explicit type of identity check (official photo ID) only applies to remote supervised examinations and digital presence examinations.
-
Is logging in with an HU account sufficient as an identity check in a digital remote examination?
- In case of a distance examination without (!) supervision, the login of the account (for HU students the HU account, for external students the registered account) must be extended by a declaration of autonomy.
- In the case of a remote supervised examination, the account must be supplemented by an identity check (photo ID or known in person via video conference).
-
Can the identity be checked via Zoom?
-
Logging
-
What do you have to document (during the exam)?
As in analogue examination protocols, you document all special incidents, e.g. if a candidate answered a question with "No" before the examination and therefore the "Question Module" had to be reset. It is also important to record technical faults and behavioural problems on the part of the students, as far as you notice them (--> attempted cheating).
-
Are there predefined examination protocols for digital examinations?
There are examination protocols for analogue face-to-face examinations, these can also be used for digital examinations.
-
What should one do with the examination protocols after the examination?
Examination protocols should be passed on to the examination office after the examination on the one hand, and uploaded to the examination course for documentation purposes on the other.
-
What do you have to document (during the exam)?
-
Technical incidents
-
Are there any regulations on withdrawing from an examination due to technical problems?
Yes. If permanent technical problems (malfunctions) lead to the non-attendance of the examination and these can be made credible, the non-attendance is assessed as a permitted withdrawal. This means that registration, admission and the examination attempt are deemed not to have taken place (§ 107c).
-
Does it make sense to appoint a technical officer for the duration of the exam?
Yes, this person should definitely be scheduled for simple technical questions, e.g. about setting the video conferencing software or corrections in the exam course, as Moodle support is not responsible for the proper conduct of the exam.
-
Are there any regulations on withdrawing from an examination due to technical problems?
-
Video use
-
May digital exams be recorded?
No, not even if there is a suspicion of cheating (§ 96b).
-
May a room scan be asked for?
No, showing the room and / or the working environment is prohibited (section 96b, paragraph 3). The use of a second camera is also prohibited.
-
Are examinees allowed to use a virtual background in remote supervised exams?
Yes. Only for the identity check (in breakout rooms) the virtual background must be briefly turned off for better readability of the document.
